1. Who we are
This website is operated by Advanced Systems and Assurance Solutions Company (“ASASTechs”, “we”, “us”), a limited liability company registered in the Kingdom of Saudi Arabia under Commercial Registration No. 7055314244, with its head office at 6553 Olaya Street, Al Olaya District, Riyadh 12221-2644, Kingdom of Saudi Arabia. ASASTechs provides technology solutions and management consulting. ASASTechs is the controller of the personal data described in this policy.
Data protection contact: info@asastechs.com (subject: “Personal data”) or +966 50 099 4297. This policy is written in accordance with the Personal Data Protection Law issued by Royal Decree No. M/19 of 9/2/1443H, as amended, and its Implementing Regulations (together, the “PDPL”). The Saudi Data and Artificial Intelligence Authority (SDAIA) is the competent authority.
2. What this policy covers
It covers personal data we receive through this website, by email, by telephone and when you send us a CV. Personal data we process while delivering services to a client is governed by the engagement agreement and any confidentiality agreement with that client. Our terms of use apply to your use of this website, and our cookie policy explains what the website stores in your browser.
3. The personal data we collect, and how
Our forms do not send anything to this website. When you press Send, the website opens your own email app with your message written and addressed to us; you then send it from your own account. Nothing you type is stored on the website.
| Source | Personal data | Required or optional |
|---|---|---|
| Contact form (sent from your email app) | Name, business email, organisation, country or region, topic and your message. Phone and job title if you add them. | Name, email, organisation, country, topic and message are required to respond; the rest is optional. |
| Request-for-proposal form (sent from your email app) | Name, job title, organisation, sector, country or region, business email, phone, the project title, the service areas, dates, the indicative budget if you give one, your description of the request, and any documents you attach to the email. | Required to assess the request; the budget and expected start are optional. |
| Careers | Your CV and the details you choose to include when you email us about opportunities. | What you choose to send. |
| Email and telephone | Your contact details and the content of your communication. | What you choose to share. |
| Visiting the website | Technical data our hosting provider processes to deliver and protect the website, such as your IP address, browser type and the time of each request. Two settings (your cookie choice and the Pause motion setting) are stored only in your own browser. | Automatic; needed to deliver the website securely. |
If you do not provide the required details, we cannot respond to your enquiry or assess your request. We do not use analytics, advertising or tracking tools, and we do not knowingly collect sensitive personal data (such as health, religious or criminal data). Please do not send sensitive personal data, or other people’s personal data, through the website or by email unless we have agreed how it will be handled.
4. Why we use personal data, and the legal basis
| Purpose | Legal basis under the PDPL |
|---|---|
| To answer your enquiry and keep in touch about it | Your consent, given by ticking the box on the form and sending the message. |
| To assess a request for proposal and prepare a response | Our legitimate interest in responding to procurement requests and, once an agreement is signed, the performance of that agreement. |
| To consider you for opportunities when you send a CV | Your consent. |
| To operate, secure and improve the website | Our legitimate interest in providing a safe, working website. |
| To keep the records the law requires, and to respond to authorities | Legal obligation. |
We do not sell personal data, we do not use it for automated decisions that affect you, and we do not send marketing without your separate consent. Where we rely on your consent, you may withdraw it at any time (section 10); this does not affect processing that took place before.
5. Cookies and storage on your device
This website sets no cookies and loads nothing from advertising or analytics companies. It stores two settings in your browser so that it works and remembers your choices: your choice on the cookie notice, and whether you paused the moving content. They contain no personal data. See the cookie policy.
6. Who we share it with
- Service providers that make the website and our email work: Cloudflare, Inc. (website delivery and protection) and Zoho Corporation (company email). They process data on our behalf under their terms of service and data processing terms.
- Our technology delivery partner (which may be outside the Kingdom), which works for ASASTechs under a memorandum of understanding and confidentiality obligations, only where needed to prepare a proposal or deliver services you have asked for.
- Professional advisers, such as accountants or lawyers, where needed and under confidentiality.
- Authorities and courts, where the law requires it.
Sharing is case by case, for the purposes above, and never for the recipient’s own marketing.
7. Where personal data is kept, and transfers outside the Kingdom
ASASTechs is based in Riyadh, and our business records are kept in the Kingdom of Saudi Arabia. Personal data we process for a client during an engagement is handled under that engagement’s agreement and kept in the Kingdom where the client or the law requires it. Your messages to us are held in our company email system, provided by Zoho Corporation; where Zoho processes data outside the Kingdom, it does so under the transfer rules below. The website itself is delivered through Cloudflare’s global network, which serves visitors from the nearest location (including Riyadh, Jeddah and Dammam) and processes the technical data in section 3 to deliver and protect the site. Where a service provider processes personal data outside the Kingdom, we do so only as the PDPL and its regulations on transfers outside the Kingdom permit, only to the extent necessary, and with appropriate safeguards.
8. How long we keep it
| Personal data | Retention |
|---|---|
| Enquiries (contact form, email, telephone) | Up to 24 months after our last contact with you, unless an engagement follows. |
| Requests for proposal | Up to 24 months after the procurement is decided; if an engagement follows, for its duration and the records period the law sets. |
| CVs and career enquiries | Up to 12 months, unless you are hired or ask us to delete your CV sooner. |
| Website technical data held by our hosting provider | For a short period set by the provider for security purposes. |
| Records the law requires us to keep (for example contracts and accounting records) | For the period Saudi law sets. |
When the retention period ends, we delete the data securely or anonymise it.
9. How we protect it
We use technical and organisational measures appropriate to the data we hold: encrypted connections (HTTPS) across the website, password-protected accounts, access limited to the people who need it, reputable service providers, and secure deletion at the end of retention. No method of transmission or storage is completely secure; if a breach affecting your personal data occurs, we will act as the PDPL requires, including notifying SDAIA and, where required, you.
10. Your rights
Under the PDPL you have the right to:
- be informed about how your personal data is collected, used and shared, and the legal basis for it;
- access your personal data and obtain a copy of it in a clear, readable format;
- ask us to correct, complete or update it;
- ask us to destroy it when it is no longer needed for the purpose it was collected for;
- withdraw your consent at any time, where consent is the basis for processing.
How to exercise them: email info@asastechs.com with the subject “Personal data”, or call +966 50 099 4297. We may ask you to confirm your identity. There is no fee. We will respond within 30 days; if a request is complex we may need up to a further 30 days and will tell you.
11. Complaints
If you are not satisfied with how we handle your personal data or your request, please contact us first at info@asastechs.com so that we can put it right. You also have the right to lodge a complaint with the Saudi Data and Artificial Intelligence Authority (SDAIA), the competent authority under the PDPL.
12. Children
This website is intended for business users and is not directed at anyone under 18.
13. Changes to this policy
We may update this policy when our services, providers or the law change. The effective date and version are shown at the top of this page, and material changes are listed here.
